Step-by-step instructions for VetVision Pro

1. Getting Started

When you first log in to VetVision Pro, you'll go through a quick onboarding process to set up your clinic profile.

1

Create Your Clinic

If you're the first person from your clinic, enter your clinic name, an optional clinic contact email (used for client reminder emails), select a subscription plan (Small, Medium, or Large), and provide your veterinary license number and specialization. This creates your organization and makes you the clinic admin.
2

Accept an Invitation

If a colleague already invited you, you'll see a pending invitation. Click Accept to join their clinic. Your role (admin or user) is set by the person who invited you.
3

Start Using the App

Once onboarding is complete, you'll be taken to the Dashboard. All clinic members share the same patient and case records.

Clinic admins can invite more team members at any time from the Team Management page.

2. Dashboard Overview

The Dashboard is your home base. It gives you a quick snapshot of your clinic's activity.

1

View Key Metrics

See your total number of cases, active patients, urgent cases, and cases in progress at a glance.
2

Quick Actions

Use the New Case button in the top navigation bar to start a new diagnostic case at any time.
3

Recent Cases

The recent cases list shows your latest cases. Click any case to open its full detail view.

3. Managing Patients

The Patients page lists every animal in your clinic. You can search, view details, and see their case history.

1

Search Patients

Use the search bar to find patients by name, breed, or microchip ID.
2

View Patient Details

Click a patient to see their signalment (species, breed, age, sex, weight), medical notes, and all associated cases.
3

Register a New Patient

New patients are registered as part of the New Case workflow (see Section 4). You can also add an owner during this step.

All clinic members can see all patients — records are shared across your organization.

4. Creating a New Case

Creating a case is a three-step workflow. Click New Case in the top navigation to begin.

1

Step 1 — Select or Register a Patient

Search for an existing patient by name, or switch to New Patient mode to register one. Enter the animal's name, species, breed, date of birth (or age estimate), sex, and weight. Optionally, add the owner's name and contact information.
2

Step 2 — Enter Case Details

Set the case date, priority level (Routine, Urgent, or Critical), chief complaint, and clinical notes. The chief complaint and notes are automatically included in all AI analyses to ground the diagnosis in clinical context.
3

Step 3 — Review and Submit

Verify all information on the review screen, then submit. If the case is marked Critical, an alert notification is sent to your clinic team. You'll be taken to the case detail page.

The chief complaint and clinical notes you enter directly influence AI diagnostic accuracy. Be as detailed as possible.

5. Working with Cases

The Case Detail page is the clinical workspace. It uses a tabbed interface organized in the recommended clinical workflow order:

Test Results

Enter bloodwork, imaging, urinalysis, cytology, and all other diagnostic test data.

Staging & Scoring

Use standardized calculators (IRIS CKD, ACVIM Cardiac, BCS, Glasgow Pain, VECToR) to stage disease.

Problem List

Track active and resolved clinical problems for the patient.

AI Diagnosis

Review the AI-generated comprehensive diagnostic analysis and confidence score.

Next Best Tests

Get AI-recommended follow-up diagnostics based on current findings.

Reminders

Schedule follow-up appointments and track pending reminders.

Follow the tabs left-to-right for the recommended clinical workflow: enter tests first, then stage, build the problem list, review AI diagnosis, and plan next steps.

6. Adding Test Results

VetVision Pro supports a wide range of diagnostic test types. Each test section lets you enter structured data and optionally upload result files.

1

Open the Test Results Tab

In the Case Detail page, click the Test Results tab. You'll see categories for Laboratory, Imaging, Urinalysis, Cytology, and more.
2

Choose a Test Type

Select the relevant test type (e.g., CBC/Chemistry, X-ray, Ultrasound, Urinalysis, Fine Needle Aspirate, Histopathology, Endocrine, Blood Gas, and many more).
3

Enter the Data

Fill in the structured fields for that test type. For imaging studies, you can upload image files (including DICOM) directly. For lab tests, enter the values from your analyzer or upload a results file.
4

Save and Analyze

Save the test record. You can then run AI analysis on individual tests or generate a comprehensive case-level analysis.
Blood Tests
Imaging (X-ray, US, CT, MRI)
Urinalysis
Cytology & FNA
Histopathology
Endocrine & Dynamic

Upload lab result PDFs or images — the system can extract data from uploaded files to pre-fill fields.

7. AI Diagnostic Analysis

VetVision Pro uses AI to analyze your test results in the context of the patient's signalment, chief complaint, and clinical notes.

1

Run Analysis on a Test

Within any test section, click the Analyze button. The AI reviews the test data alongside the case context and generates an interpretation.
2

Review the AI Output

The analysis includes primary findings, further (incidental) findings, and calibrated confidence levels. For imaging, it performs a structure-by-structure review.
3

Case-Level Diagnosis

The AI Diagnosis tab provides a comprehensive case-level summary that synthesizes all test results into a unified diagnostic assessment with a confidence score (High, Moderate, or Low).
4

Next Best Tests

The AI recommends follow-up diagnostics based on current findings, helping you decide what to order next.

AI analyses are decision-support only. All findings must be reviewed and validated by a licensed veterinarian before clinical action.

8. Clinical Staging & Scoring

Use standardized clinical calculators to stage disease and score severity.

1

Open the Staging Tab

In the Case Detail page, click Staging & Scoring.
2

Choose a Calculator

Available calculators include:
IRIS CKD — Chronic kidney disease staging
ACVIM Cardiac — Heart disease classification
BCS — Body Condition Score
Glasgow Pain Scale — Pain assessment
VECToR — Tumor staging
3

Enter Values and Save

Fill in the required clinical values. The calculator determines the stage/score automatically. Results are saved to the case.

9. Problem List

The Problem List tracks all active and resolved clinical problems for the patient in one place.

1

Add a Problem

Go to the Problem List tab and click Add Problem. Enter the problem name, status (Active or Resolved), and notes.
2

Update Status

Mark problems as resolved as the patient improves. The list provides a running clinical summary across visits.

10. Follow-up Reminders

Schedule follow-up appointments and track pending reminders for each case.

1

Create a Reminder

In the Reminders tab, add a follow-up with a title (e.g., "Recheck bloodwork in 2 weeks"), a due date, priority, and clinical reason.
2

Track and Complete

Reminders show as Pending until marked Done, Snoozed, or Cancelled. AI-suggested reminders may also appear based on test findings.

Reminders are visible to all clinic members, so anyone can follow up even if the original clinician is unavailable.

11. Wellness & Preventive Care

The Wellness page tracks preventive care, vaccinations, check-ups, dental cleanings, parasite prevention, and more across all your patients.

1

View the Wellness Dashboard

Click Wellness in the top navigation. Items are grouped by status: Overdue, Due Soon (30 days), Upcoming (30 to 90 days), and Current. Stat cards at the top show how many items need attention.
2

Add a Wellness Item

Click Add Wellness Item, then select a patient, category, item name, due date, and recurrence interval (e.g., every 12 months for annual vaccines).
3

Standard Schedules

On a patient's detail page, use Add Standard Schedule to auto-populate common preventive care items for dogs, cats, or horses in one click.
4

Send a Reminder Email

Click the mail icon on any wellness item to send a branded reminder email to the pet owner. The email includes the pet's name, the due item, and the due date. If the owner has no email on file, you'll see a notice instead.
5

Automated Recurring Reminders

The system automatically checks for overdue wellness items every morning and sends reminder emails to owners, no manual action needed. Each item is reminded at most once per week to avoid spamming clients.
6

Reminder History

Each wellness item shows when the last reminder was sent and how many total reminders have gone out, so you can see at a glance which owners have been contacted.

Set a clinic contact email during onboarding to include it in client reminder emails. Owners can reply to that address with questions.

12. Notifications

The notification bell in the top navigation bar alerts you to important clinical and system events.

1

Check the Bell Icon

A badge shows unread notifications. Click the bell to see the full list.
2

Notification Types

You'll receive alerts for critical cases, abnormal test results, completed AI analyses, case status changes, team invites, and due reminders.
3

Mark as Read

Click a notification to navigate to the relevant case or page. Read notifications are archived automatically.

13. Team Management

Clinic admins can invite and manage team members. Access this from the Team nav item (visible to admins only).

1

Invite a Team Member

Enter the person's email and choose a role (Admin or User). They'll receive an email invitation to join your clinic.
2

Manage Roles

Promote or demote team members, or revoke pending invitations.
3

Admin Dashboard

Clinic admins and platform admins can access admin dashboards via the shield icon in the top navigation. These show clinic-wide utilization, throughput, and analytics.

14. Billing & Subscription

Manage your clinic's subscription plan and payment methods.

1

View Your Plan

Check your current subscription tier (Small, Medium, or Large) and usage.
2

Upgrade or Change Plans

Switch to a different tier as your clinic grows. Changes take effect immediately.
3

Manage Payment Methods

Update your payment card or access the billing portal for invoice history.

15. Units & Preferences

VetVision Pro supports both metric and imperial unit systems.

1

Toggle Units

Use the kg/°C | lbs/°F toggle in the top navigation bar to switch between metric and imperial units. This affects weight and temperature displays throughout the app.
2

Preference is Saved

Your unit preference is remembered across sessions.
